Alero Records Management - Overview
The Alero Records Management solution is a layer on top of the Alero Document Imaging and Document Management solutions and provides a full range of record management services, including identifying, classifying, archiving, preserving, and destroying records. In contrast with content-oriented records management products, the Alero Records Management solution is designed to support large and extensive enterprise records management initiatives where a record can be any type of information and not just a physical or electronic document, surpassing other solutions in breadth, speed, scalability and overall performance.

This solution provides a 360 degree management of records, delivering an efficient and systematic control of the creation, receipt, maintenance, use, and disposition of records, including the processes for capturing and maintaining evidence of and information about business activities and transactions in the form of records.

Combined with powerful physical records management facilities, Alero Records Management provides a solid foundation to support even the most demanding records management environments.

Solution Applications

Following are the applications delivered with this solution. The Alero Web Client application is a web-based, intuitive, and easy to use end user application that will maximize the user experience of working with enterprise information while minimizing the training and support required by users. The Alero Administration application is a web-based, user friendly management application that simplifies and virtualizes the administration of the system regardless of its complexity.

Solution Type:   Records management.
Designed As:   High transaction records management. It is ideal for ad-hoc or high transaction, high volume records management environments. It can handle hundreds, thousands, or millions of documents per day. It is a horizontal solution that can work for any industry and segment.
Solution Composition:   This solution is a package and includes the following products and solutions: the Alero Express or Enterprise Edition, depending on the number of users and volumes, one of the Alero Capture solutions, the Alero Document Imaging or Document Management solution, depending on the needs, the Alero Content Storage Management solution, and one of the End User applications.

Functionality:   The functionality of this solution is divided into the following categories:
  • Capture. The capture of content is provided by the Alero Capture application or by a third party vendor. Alero provides some interfaces to best of breed solutions, or customers can also choose any solution of preference. The capture process consists of one or more of the following functions: single or batch scanning, OCR/ICR, forms recognition, barcode recognition, image cleanup, indexing, validation, QA, etc.
  • Content Management. The management of content is provided by the Alero Document Imaging solution. It supports indexing, storing, searching, retrieving, viewing, foldering, properties, printing, faxing, exporting, importing, delivering, publishing, and many other content functions.
  • Document Management. The management of documents is provided by the Alero Document Management solution. It supports a full range of library services, including version control, check-out/check-in, audit, and revision history.
  • Records Management. The management of records is provided by the Alero Records Management solution. It supports creating, approving, and enforcing records policies, including a classification system and a records retention policy; developing a records storage plan, which includes the short and long-term housing of physical records and digital information; identifying existing and newly created records, classifying them, and then storing them according to standard operating procedures; coordinating access and circulation of records within and even outside of an organization; and executing a retention policy to archive and destroy records according to operational needs, operating procedures, statutes, and regulations.
  • Storage Management. The storage of content is provided by the Alero Content Storage Management solution. It is based on Life Cycle profiles, which define the life of each document in the system from its creation up to its destruction. These life cycle profiles define the number of copies per document and the storage/device, location, and retention to use per copy. It also supports functions like migration, caching, domain, proximity, and throttling. Storage management is an administration-free task with this solution. The following devices are supported: disk, RAID, libraries (DVD/Optical), EMC Centera CAS, and Hitachi HCAP.
  • End User Application. It allows users to work with content.
Integration With:   This solution is integrated with Microsoft Office® applications through Alero WebDAV. Users can easily create, modify, revise or delete documents from office applications. It is also integrated with all the other services and solutions provided by Alero, including the repository, content, process, integration, security and event services and solutions.
